Privacy Policy

This Privacy Policy applies to the website, accounts, products and related services provided by Photonseed, an independently operated personal studio. MediaDNA Library is one of our products. References to “we”, “us” and “our” mean Photonseed.

1. Scope and responsible operator

Photonseed is responsible for the personal information processing described in this policy. It covers photonseed.com, Photonseed accounts, products and related online services that link to this policy, including MediaDNA Library, as well as early-access requests and customer support. MediaDNA Library is a product provided by Photonseed, not a separate service provider. Contact support@photonseed.com about this policy or your information.

The information processed depends on the product and features you use. Product-specific sections apply only to the named product; MediaDNA Library’s local media handling should not be assumed to describe every Photonseed product. Any additional or different processing is explained in a relevant product notice before use, read together with this policy. Independent providers explain their own processing in their policies. Photonseed remains responsible for processing whose purposes and means we determine.

2. MediaDNA Library: local media and diagnostics

Normal MediaDNA Library indexing and search do not require uploading original media to Photonseed. Your media, query files, local index and backups stay in your storage. Account login, trial and license verification communicate with online services. The platform keeps encrypted account database-key material to provide authorized devices with database access keys; this is not an upload of your media library.

In MediaDNA Library, automatic online crash reporting is enabled by default and can be disabled in Settings. Disabling it stops new uploads and clears pending reports, while local crash capture continues; it does not delete reports already received by Photonseed. Native crash dumps may include limited memory fragments, including file paths or other personal information present at a crash. Support files you choose to send are a separate disclosure; avoid unnecessary sensitive information.

3. MediaDNA Library: clipboard input

When you paste in the active Content Search page or select its clipboard action, MediaDNA Library reads one supported image or media-file reference. It does not monitor the clipboard in the background or read it merely because the app opens. Text and web links are not search inputs.

A pasted image may be saved as a temporary local copy to run the search. The app removes its copy when the input is released or expires, and cleans up leftover clipboard copies on a later startup. It does not clear your system clipboard or automatically add the input to your media library. Normal clipboard searches do not upload the query image or original media to Photonseed.

4. Information we receive

The following categories apply where relevant to the product or feature you use. Accounts: Google identity ID, name, email, verification status and avatar URL; internal account and membership IDs, language preferences, timestamps, session verification records, client/device identifiers, trial and entitlement status, license and activation history. We do not receive your Google password. Early-access and support: email, message, product interest, language, source page, submission time, browser User-Agent and correspondence or attachments you submit.

Technical data: IP and request information needed to operate and protect the service; software version, operating system, architecture, hashed installation identifiers, error codes, restricted stack traces, runtime versions and native crash dumps. Crash rate limiting uses hashed network identifiers. Purchases: account email, product, amount, currency, order/transaction identifiers, payment, refund, dispute and entitlement status. Full card numbers and security codes are processed by Waffo Pancake and its payment partners, not stored on our servers.

5. Purposes and legal grounds

We use necessary information to provide accounts, trials, licenses, order fulfillment and requested support: performance of a contract or pre-contract steps where that legal ground applies. Security, abuse prevention, error investigation and reliability serve our legitimate interests where permitted, subject to necessity and your rights. Compliance, taxation and lawful requests rely on applicable legal obligations; transaction and dispute handling may also be needed for contractual or legal claims.

We respond to your early-access request and send the related updates you request. Additional marketing relies on consent where required and may be stopped by emailing us. Necessary billing, security and service notices still apply. Using MediaDNA Library’s local search does not authorize general-purpose AI training on your media. We disclose a future external AI data flow before use and seek consent when legally required. Consent is also obtained for other processing where required by local law.

6. Cookies, storage and analytics

The API uses the __Host-photonseed_session cookie to keep you signed in for up to 30 days, with Secure, HttpOnly and SameSite protection. Signing out revokes that session and clears the cookie. The photonseed-locale cookie remembers language for 365 days; local storage keeps the same preference until changed or cleared. Without a saved choice, the homepage may use your browser’s language preference. Clearing or blocking storage can affect sign-in and language features.

The site uses Cloudflare Web Analytics for page-visit and performance statistics. Google login and Waffo checkout may use their own necessary storage under their policies. See Cloudflare’s privacy policy below. We do not sell personal information or share it for cross-context behavioral advertising.

7. Recipients and service providers

Cloudflare provides hosting, API, database, crash-file storage and network security. Google supplies sign-in and the basic identity information you authorize. Resend processes addresses and email contents for early-access notifications, replies and service messages; applications also reach our business mailbox. Waffo Pancake and its payment partners process checkout, billing, refunds and transaction risk, including information they need for their own legal obligations.

Access is limited to people and providers with a relevant need. Information may also be disclosed under lawful government or court requests, to protect legal rights, with your authorization, or in a lawful business transfer subject to continuing data-protection obligations. Providers’ policies describe their independent processing and do not replace our responsibilities.

8. Retention

For MediaDNA Library, raw native crash dumps are deleted within 30 days of receipt through storage lifecycle and scheduled cleanup. This does not include all structured error metadata. Session cookies expire within 30 days, language cookies within 365 days, and local language storage remains until you clear or change it. Expiry or revocation of a credential does not itself erase every server audit record.

We keep account, entitlement, licensing and key records while needed to provide your account and services. Structured error, security and support records are kept as needed to investigate problems, handle requests and protect the service; they do not currently have a uniform automatic deletion period. Transaction records are retained as required by applicable tax, accounting and dispute obligations. You may request deletion at support@photonseed.com; we assess the request under applicable law and delete or anonymize information no longer needed, subject to legal retention and unresolved claims.

9. Security and international processing

We use HTTPS, hashed session verification, encryption of stored database-key material, input validation, rate limits and restricted internal operations access. These measures reduce risk but cannot guarantee absolute security. We notify authorities and affected people of reportable incidents within the deadlines required by applicable law. Do not send passwords or full card details in support requests.

Our infrastructure and providers operate in multiple countries and may process data outside your residence. Transfers must meet applicable legal requirements using appropriate processing contracts and other necessary safeguards. Contact us for information about relevant recipients, processing locations and transfer safeguards.

10. Your choices and rights

Depending on applicable law, you may request information, access, correction, deletion, restriction, a portable copy, objection to processing based on legitimate interests, or withdrawal of consent. You may also request account closure. Withdrawal does not affect earlier lawful processing, and closing an account can affect its software licenses. Cancel billing separately through Waffo before closing an account.

Email support@photonseed.com, preferably from your account address. We may request proportionate identity verification; do not send identity documents unless asked. We respond within applicable legal deadlines and explain any lawful extension or refusal. You may stop early-access or marketing contact using the same email and complain to your local competent privacy authority. We do not discriminate for exercising lawful privacy rights.

11. Age requirement

Photonseed is intended for people aged 18 or over and is not directed to children.

If you believe a child has supplied personal information, contact support@photonseed.com. We will investigate and delete information or take other appropriate action under applicable law.

12. Policy updates

We notify users of material changes through the website or account email as required by law and update the date on this page.

Where a new purpose requires separate consent, we obtain it. Continued use does not substitute for that consent. Independent Google, Waffo and other services remain subject to their own privacy notices.
